Executive Assistant to CEO
General Statement of Duties

Business owner, social entrepreneur, and co-leader of two non-profits is looking for a part-time Executive Assistant to be her collaborative partner and project manager. The EA will play an integral role in managing projects, relationships, scheduling and most of all, helping balance and organize multiple projects and deadlines. EA can work virtually.

Maintain calendar as well as coordinate meetings, conference calls, and preparation
Make personal appointments

Organize travel calendar, schedule travel including airfare, car services, rental cars, hotel
Coordinate with travel agent
Be available in travel emergencies
Prepare expense reports

Accurately fill out conference applications for speaking engagements
Track due dates for presentations and timely submissions

Documents & Publications
Maintain corporate files, electronic filing of documents for easy retrieval
Edit documents in Word, Excel and PowerPoint
Research and purchase academic papers

Previous experience as an administrative assistant is a must
High initiative, proactive, efficient and resourceful
Must demonstrate discretion and confidentiality when dealing with information
High professionalism to manage interaction with prominent scientists and business, government, and healthcare leaders

Project Management
Proven skills in project management
Must have ability to analyze, develop and implement plans
Ability to grasp an overview of projects and details with high level of accuracy
Detail oriented

Proficient in Mac and Office 365
Computer skills including Word, Excel, Google Docs, file management/organization and e-mail at a highly proficient level
Capability in, or capacity to learn information management software and Dropbox
Social media

Salary commensurate with experience. A background and reference check will be required.

Approximately 20 hours per week. Hours are flexible and negotiable but needs to be available by phone, at least for quick contact 9 to 5pm block Monday – Friday. Potential for more hours if interested.
